Who we are

Prooflive.ai is provided by Prooflive.ai, trading as Prooflive, of 7 Ferry Road, Preston PR2 2YH, United Kingdom. For the personal data described here, we are the controller. Questions or requests: support@prooflive.ai.

This policy covers people who use prooflive.ai, sign up, use the app, webmail or build API, or join the partner programme. For the websites and mailboxes we host for customers, the customer is responsible for their visitors' and contacts' data and we process it for them (see section 15 of our Terms).

What we collect

• Account details: your name, email address, business or studio name and a securely hashed password.
• Billing details: name, business name, billing address, phone and VAT number if you give one, and your plans, invoices and payments. Card details go straight to Stripe; we never see or store your full card number.
• Partner payouts: if you set up payouts, Stripe collects your identity and bank details to pay you. We see your payout status, not your bank details.
• Use of the service: the sites, pages, media, settings and messages you create; build logs; the IP addresses and browsers you sign in from (used for security and to show draft sites only to you); and sign-in attempts.
• Messages: emails you send us and our replies.
• Visits to prooflive.ai: server logs (IP address, pages requested, browser) for security, and visitor numbers counted without cookies.

Why we use it, and our lawful basis

• To provide the service you signed up for: your account, sites, email, billing, payouts and support (contract).
• To keep it secure and prevent fraud and abuse, and to fix and improve it (our legitimate interests in running a safe, reliable service).
• To send service emails, such as email confirmation, sign-in links, receipts, trial reminders and important changes (contract and legitimate interests). We don't send marketing email without your consent.
• To meet legal obligations, such as keeping tax and accounting records (legal obligation).

Who we share it with

We don't sell your data. We share it only with service providers who help us run Prooflive.ai, under contracts that protect it:

• DigitalOcean: hosting, in a data centre in London.
• Stripe: payments, invoices and partner payouts.
• SMTP2GO: delivering the emails we and our customers' mailboxes send.
• GoDaddy: DNS for the prooflive.ai domain.
• Google Fonts: some pages load typefaces from Google, which receives your IP address to send the font files.

We may also share data with professional advisers, or where the law requires it, or to protect our rights or someone's safety. If the business is transferred, the data would pass to the new owner under this policy.

International transfers

Your account data is stored in the UK. Some providers, such as Stripe and SMTP2GO, may process data outside the UK. Where they do, we rely on UK adequacy decisions or approved safeguards such as the UK International Data Transfer Agreement or Addendum.

How long we keep it

• Account and site data: while your account is open, then deleted within 90 days of closing it.
• Billing records: 6 years, as required for tax.
• Security and sign-in logs: up to 12 months.
• Emails with us: up to 2 years after the conversation ends.

Your rights

You can ask us to give you a copy of your data, correct it, delete it, restrict or object to how we use it, or give it to you in a portable format. Where we rely on consent, you can withdraw it at any time. Email support@prooflive.ai and we'll reply within one month. If you're unhappy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk, though we'd appreciate the chance to sort it out first.

Security

We protect data with encryption in transit, hashed passwords, restricted access, UK hosting, monitoring and backups. No system is completely secure, so please use a strong, unique password and keep build links private.

Children

Prooflive.ai is for businesses and isn't meant for anyone under 18.

Changes

We'll update this policy when how we handle data changes, and tell you by email or in the app if the change is significant.
